Requirements: Grade 12 Certificate coupled with a minimum NQF level 7 (Degree) Qualification as recognised by SAQA in Communication/Public Relations Management/Administration/ lnformation Management/Records Management, or related field | A minimum of ten (10) years relevant experience of which five (5) years should be at middle management level | An in-depth understanding of the NW Provincial Legislature stakeholders.

Knowledge: Understanding of the Legislative sector in South Africa | Use and apply different public participation models to enhance and promote public participation in the North West Province | Knowledge and understanding of the Public Finance Management Act and Financial Management of Parliament and Provincial Legislature Act | Ability to act and manage operations between the Legislature, National Parliament and the National Council of Provinces.

Duties: Lead and manage the design and delivery of the Registry and Electronic Documents services | Oversee the provision of transportation services of documents, storage and maintain inventory | Manage and maintain equipment’s (scanning, recording, sorting, filing, photocopy machines) as per required standards | Ensure that all the written records of the Legislature are filed in accordance with the National Archives Act and all legal reports are submitted to the National Archives | Ensure that the division’s strategic plans, quarterly and annual reports are submitted to the relevant stakeholders timeously | Support NWPL’s management and stall in developing and maintaining strategic partnerships with external stakeholders | Co-ordinate the appearance of all NWPL print and electronic materials such as letterhead, use of logo brochures | Establish an effective liaison role with key stakeholders | Manage the operations of the Legislative Registry, ensuring that all documents received are properly filed | Protect the NWPL Brand and work to build an increasing positive brand image | Co-ordinate the design and implement all advertising campaigns/Initiatives | Co-ordinate media interest in the NWPL and ensure regular contact with target media and appropriate response to media requests | Design and implement a robust interactive system of internal communications | Oversee the proper functioning of the library | Oversee the appropriate Knowledge Management repository and ensure that they are maintained, updated and utilized effectively | Analyze the effectiveness of knowledge management programs by observing its usage and evaluate its impact | Represent the NWPL in all legislature Knowledge Management relevant structures and forums | Oversee proper management of NWPL library services
